Job Overview

Our client is seeking a highly organized and proactive Healthcare Administrative Assistant (Marketing Support) to support their growing home healthcare business. This role combines administrative support, client coordination, customer service, and digital marketing responsibilities. The ideal candidate is tech-savvy, detail-oriented, and comfortable interacting with clients and their families while managing multiple priorities in a fast-paced environment.

Schedule

  • Monday - Friday, 9:00 AM - 6:00 PM EST, with 1 hour unpaid break (40 hours per week)

Responsibilities

  • Advertising Campaign Management: Manage and optimize Facebook advertising campaigns to generate qualified leads for home healthcare services.
  • Inbound Call Coordination: Handle inbound calls through OpenPhone from prospective clients and family members, providing professional and compassionate assistance.
  • Onboarding & Scheduling: Coordinate client onboarding processes and schedule admission supervisor visits.
  • CRM Maintenance: Maintain accurate client records and documentation within the Notion CRM platform.
  • EVV Software Workflow: Learn and become proficient in Electronic Visit Verification (EVV) software, including AI-powered features and workflows.
  • Internal Communications: Coordinate client handoffs and communication with care coordinators via email.
  • Document Management: Prepare and organize digital files for printing and physical record storage.
  • Daily Performance Reporting: Provide daily end-of-day updates summarizing activities, progress, and outstanding items.
  • Administrative Ownership: Take ownership of recurring administrative tasks and proactively resolve issues when leadership is unavailable.
  • Systems Monitoring: Monitor and manage internal software systems to ensure smooth day-to-day operations.

Requirements

  • Technical Support Footprint: Previous professional experience in administrative or operational support capacities.
  • Paid Media Experience: Hands-on experience managing and adjusting Facebook advertising campaigns.
  • Linguistic Standard: Excellent English communication skills, both written and verbal.
  • Communication Approach: Professional and empathetic phone presence when working with clients and their families.
  • Operational Habits: Strong organizational skills with exceptional attention to detail.
  • Autonomy: Ability to work independently and exercise sound judgment with minimal direct supervision.
  • Software Literacy: Experience with CRM systems; familiarity with Notion is a plus.
  • Technology Adoption: Quick learner with the ability to adapt to new software applications and technology platforms rapidly.
  • Infrastructure Setup: A highly reliable internet connection and a dedicated, quiet remote work environment.
