Overview

Our client is seeking an Accounting Assistant to streamline financial records and ensure data accuracy within Square and Excel. In this role, your sharp attention to detail will directly impact business growth and regulatory compliance by maintaining precise records and supporting vital client re-engagement efforts. Schedule:

• US EST - Between 8 - 5
• Part-time engagement (20 hours/week) with potential to scale to full-time (40 hours/week); Work within the U.S. Eastern Time zone

Responsibilities:

• Verify and reconcile payment records within the Square merchant account against client purchase data
• Tabulate client transaction histories, including package purchases, payment dates, and remaining sessions, into organized Excel spreadsheets
• Maintain accurate and up-to-date client records to support re-engagement and marketing outreach
• Identify discrepancies in payment entries and flag incomplete or missing data for resolution
• Support regulatory compliance efforts by ensuring all financial and client records are properly documented
• Assist with client outreach to notify them of remaining unused treatment sessions when required
• Access and navigate the client's Square merchant account and existing database
• Collaborate closely with the business owner who will prepare and hand off data incrementally
• Potential client-facing outreach via phone regarding remaining treatment sessions
• Ensure all data handling meets confidentiality and compliance standards

Requirements:

• 1–2 years of experience in bookkeeping, data entry, or accounting support
• Strong proficiency in Excel, including data organization and spreadsheet creation
• High level of attention to detail and accuracy when handling financial records
• Familiarity with HIPAA-compliant data handling practices
• Strong written and verbal communication skills
• Ability to work independently with minimal supervision once trained
