Back Office Coordinator (Fleet & Workforce Support)

Job Overview

Our client is looking for an Back Office Coordinator to manage fleet maintenance and site mobilization. This role is designed to support the Operations Manager by handling essential administrative tasks, coordinating worker preparation, and ensuring smooth logistical operations. The ideal candidate is a proactive individual who can learn new systems quickly and communicate effectively in a professional environment.

Schedule

  • Monday - Friday, flexible during client business hours, AWST (20 work hours per week) Note: Potential to expand to full-time (40 hours) based on performance and business needs.

Responsibilities

  • Manage vehicle fleet maintenance coordination and tracking
  • Handle site mobilizations including training coordination, medical requirements, and worker preparation
  • Oversee uniform management and distribution
  • Perform general administrative tasks and support
  • Assist with new employee setup in payroll systems (Xero)
  • Support operations manager with administrative duties to free up time for business development
  • Learn and utilize company-specific software systems with provided training resources

Requirements

  • Confident in communicating in English in a professional setting
  • Experience with basic administrative tasks and office software
  • Familiarity with Xero or similar accounting/payroll software preferred
  • Ability to learn new software systems quickly using tutorials and training materials
  • Proactive approach to task management
  • Experience in construction, labor, or related industries preferred but not essential
