Our client is looking for a high-responsibility, independent professional to oversee financial accuracy and documentation control across a multi-entity aviation training group. This is not a basic administrative role; it requires a specialist who executes with speed and precision, managing complex inter-company invoicing and contract workflows. After structured training, you will be expected to operate with full autonomy, ensuring "first-time accuracy" across all financial and legal records to support the group’s operational discipline.
Client Overview
A sophisticated aviation training group managing multiple related companies. They operate in a high-stakes industry where financial alignment and regulatory documentation (licenses, medicals, and student records) are critical. The organization values cognitive processing, fast learning, and a zero-error mindset.
Schedule
- Monday – Friday, 10:00 AM – 7:00 PM Vancouver British Columbia (PDT) (40 hours per week)
Responsibilities
- Financial Control: Manage external and inter-company invoicing; perform accurate bank reconciliations; and coordinate AP/AR, supplier payments, and payroll data.
- Contract Management: Prepare and customize contracts using company templates and manage digital signature workflows via PandaDoc.
- Documentation Audit: Validate that all contracts match billing structures and payment plans to prevent revisions; track renewals for aviation-specific licenses and medicals.
- Operational Discipline: Maintain structured digital filing systems and clean CRM data, identifying inconsistencies before they escalate into backlogs.
- Reporting: Provide financial reporting support and coordinate payment approvals across several related business entities.
Requirements
- Strong background in bookkeeping, bank reconciliation, and AP/AR management.
- Experience and proficiency with PandaDoc, DocuSign, or similar contract management platforms
- High-level Excel skills. Proficiency in QuickBooks Desktop is highly preferred.
- Fast learner with the ability to process complex instructions and ask intelligent clarifying questions once.
- Excellent written English for professional contract preparation and team coordination.
- Ability to work the graveyard shift consistently without personal disruptions.
Qualifications
- Minimum 3 years’ experience is required
- Experience in the aviation, logistics, or training sectors (Highly Regarded).
- Demonstrated ability to manage multiple entities or inter-company billing (Preferred).
- A track record of high-stakes documentation control where accuracy is a regulatory requirement.
