Schedule:

  • Monday - Friday, 7:30 AM to 4:30 PM Corona Del Mar, CA Time with a 1-hour unpaid break (8 hours/day)

Responsibilities

  • Make outbound phone calls to healthcare facilities to follow up on pending medical record requests and obtain status updates.
  • Send medical record requests and authorization forms via fax, email, mail, and provider portals.
  • Communicate professionally with hospitals, physician offices, imaging centers, laboratories, and other healthcare providers.
  • Review incoming records to ensure they correspond with the requested patient, dates of service, and record types.
  • Distinguish between various types of medical documentation, including physician records, hospital records, radiology reports, imaging records, billing statements, and laboratory results.
  • Upload, download, and organize records and supporting documents through various portals and systems.
  • Verify that authorizations contain all required information, including signatures, dates, and patient identifiers.
  • Escalate urgent requests and follow up persistently to ensure timely record retrieval.
  • Maintain detailed notes and status updates within internal systems.
  • Respond to emails and inquiries promptly and professionally.
  • Prioritize workload to manage multiple requests and meet turnaround expectations.
  • Ensure accuracy in data entry and document management to minimize delays.
  • Maintain HIPAA compliance and safeguard confidential patient information.
  • Perform additional administrative duties as assigned.

Requirements

  • 2-5 years of experience in medical records retrieval, healthcare administration, medical records, or a similar role.
  • Strong familiarity with medical terminology and various types of medical documentation.
  • Working knowledge of HIPAA regulations and patient confidentiality requirements.
  • Excellent verbal and written communication skills.
  • Strong phone presence and confidence when interacting with healthcare facilities.
  • Proven ability to multitask and manage a high-volume workload efficiently.
  • Exceptional attention to detail and accuracy when reviewing and processing records.
  • Proficiency with Google Workspace (Gmail, Docs, Sheets, Drive) and Microsoft Office applications.
  • Ability to quickly learn new software systems and provider portals.
  • Experience with electronic medical records (EMR/EHR) systems is preferred.
  • Strong organizational and time management skills.
  • Ability to work independently with minimal supervision.
  • Professional and persistent approach when following up on requests.
  • Reliable internet connection and appropriate remote workspace.
  • Ability to thrive in a fast-paced environment while maintaining quality and accuracy.

Preferred Qualifications

  • Associate's or Bachelor's degree in Healthcare Administration, Health Information Management, Medical Office Administration, or a related field.
  • Experience working with insurance carriers, law firms, or medical record retrieval companies.
  • Familiarity with EMR/EHR platforms such as Epic, Cerner, NextGen, or Athenahealth.
  • Experience handling medical billing records, radiology records, and physician documentation.
  • Previous experience in a fully remote work environment.
  • Knowledge of release-of-information (ROI) processes and authorization requirements.
