Job Overview
Our client is seeking an experienced Payroll Assistant to manage timesheet validation, payroll preparation, and administrative payroll support across multiple childcare facilities. This role will initially focus on ensuring accurate timekeeping data from the Brightwheel system and will gradually expand into bookkeeping and accounts payable responsibilities as the business scales.
Schedule
Monday - Friday, 10 AM - 2 PM EST (40 work hours per week)
Responsibilities
- Download employee timesheet data from the Brightwheel app and accurately transfer information into Excel spreadsheets for internal payroll processing.
- Review, verify, and correct timesheet discrepancies such as missing clock-ins or clock-outs by coordinating with on-site administrators via email or chat.
- Ensure all employee hours are properly validated and ready for submission to the accounting team for payroll and tax processing.
- Communicate regularly with facility administrators to resolve inconsistencies or unusual entries in employee time records.
- Participate in weekly video calls to review payroll status, financial updates, and accounting requirements.
- Maintain organized and accurate payroll records across multiple childcare locations as the organization expands.
- Support additional bookkeeping and accounts payable tasks as needed, including vendor invoices and payroll-related documentation.
Requirements
- Minimum 2 years of experience in payroll processing or payroll administration.
- Strong proficiency in Microsoft Excel for data entry, reconciliation, and timesheet management.
- Professional English communication skills for coordinating with multiple stakeholders across different locations.
- High attention to detail and strong accuracy in reviewing timekeeping and payroll data.
- Ability to work independently in a remote setup and manage time-sensitive tasks.
Nice to Have
- Experience using Brightwheel or similar childcare/time-tracking systems.
- Familiarity with payroll compliance and basic tax reporting processes (e.g., IRS guidelines).
