Construction Finance & Operations Coordinator (Xero & Monday.com)

Overview:

We are seeking a detail-oriented Construction Finance & Operations Coordinator (Xero & Monday.com) to support the financial and administrative operations of a growing construction business. This role will be responsible for managing accounts payable processes, reconciliations, job costing, and financial reporting while also assisting with project administration and operational support.

The ideal candidate has strong experience with Xero and Monday.com, a solid bookkeeping background, and the ability to work independently in a fast-paced environment. This position is perfect for someone who enjoys improving processes, analyzing data, and supporting both financial and operational functions within the construction industry.

Schedule: Monday to Friday, 7:00 AM to 4:00 PM AEST (including a 1-hour break) | Start and finish times may be adjusted 

Responsibilities:

  • Process up to 300 invoices per month into Xero, ensuring proper allocation to specific jobs and tasks
  • Conduct cost verification by cross-referencing invoices against dockets and supplier quotes
  • Perform monthly statement reconciliations with suppliers and subcontractors
  • Manage payment schedules (weekly payments for subcontractors, terms-based payments for suppliers)
  • Maintain and update client and supplier profiles within Xero
  • Complete daily bank reconciliations and follow up on missing receipts
  • Conduct cost analysis and create detailed breakdowns (e.g., machinery maintenance costs, material vs. labor analysis)
  • Input and manage data across Monday.com project management boards
  • Track machinery maintenance schedules and ensure compliance with maintenance requirements
  • Assist with supplier credit account applications and council permit applications
  • Support tender submission processes with data compilation
  • Provide general administrative support as business needs evolve

Requirements:

  • Proven experience with Xero accounting software
  • Proficiency in Monday.com project management platform
  • Previous experience working with Australian clients
  • Strong bookkeeping and accounting background
  • Data analysis and spreadsheet skills
  • Attention to detail and accuracy in financial processing
  • Ability to work independently and suggest process improvements
  • Strong communication skills for follow-up tasks
  • Experience with construction or trade industry preferred
  • A Windows PC is required for this role
