A growing compliance and distribution company based in Portland, Oregon with operations expanding to multiple locations across the United States by year end. The company manages contracted sales representatives nationwide and handles significant cash transactions requiring meticulous record keeping and financial organization.

Job Overview

This is a part-time bookkeeping position requiring 20 hours per week (4 hours per day, Monday through Friday) to manage financial records, accounts payable and receivable, and general bookkeeping tasks. The primary focus initially will be cleaning up existing financial records and establishing proper bookkeeping systems in QuickBooks, then maintaining ongoing financial operations. When bookkeeping tasks are complete, additional office administration duties such as following up on accounts receivable and handling missed leads may be assigned. Our client is looking for a detail-oriented professional to join their team.

Schedule: Monday - Friday, hours to be determined | Pacific Time (20 work hours per week)

Responsibilities

  • Clean up and organize existing financial records in QuickBooks, including properly tracking and recording cash transactions (deposits and withdrawals).
  • Process and verify incoming invoices from sales representatives nationwide, ensuring accuracy before product shipment authorization.
  • Manage accounts payable by tracking bills, maintaining payment schedules, and ensuring expenses stay within established monthly budgets.
  • Maintain organized record keeping systems and ensure all financial data is properly entered and reconciled in QuickBooks.
  • Generate financial reports including profit and loss statements, year-end reports, and management reports as needed for banking relationships and credit applications.
  • Monitor accounts receivable and follow up on outstanding payments as needed.
  • Handle the invoice inbox and ensure all invoices match records before processing.
  • Provide general office administration support when bookkeeping tasks are completed.

Requirements

  • Minimum 3 years of professional bookkeeping experience with strong QuickBooks proficiency and certification.
  • Excellent communication skills with ability to respond promptly and professionally to fast-paced business needs.
  • Strong organizational skills and common sense approach to problem-solving with ability to think independently and document work properly.

Nice-to-Have Requirements

  • Experience working with companies that handle significant cash transactions.
  • Experience supporting businesses with multiple locations or remote sales teams.
  • Familiarity with Google Workspace for communication and collaboration.
  • Experience preparing financial documentation for banking relationships and credit applications.
  • Ability to adapt to changing priorities and maintain professionalism in a dynamic business environment.
