Overview

Join a dedicated administrative team as a Remote Receptionist and become the compassionate first point of contact for patients seeking mental health support. In this pivotal role, you will handle inbound inquiries, manage scheduling within an EMR system, and collaborate closely with clinic staff to deliver a seamless, professional experience.

Schedule

  • Work Schedule: Mondays to Fridays, 9:00 AM to 5:00 PM, Ontario, Canada, Eastern Time (with a 30-minute paid break), 40 hours weekly

Responsibilities

  • Answer incoming patient calls in a professional, courteous, and empathetic manner.
  • Respond to inquiries regarding clinic services, providers, assessment processes, therapy services, and appointment availability.
  • Direct patients to appropriate team members or departments when required.
  • Reschedule, cancel, and confirm appointments in accordance with clinic policies.
  • Assist patients with appointment-related questions and logistical concerns.
  • Accurately document patient communications and scheduling updates within the electronic medical record (EMR) system.
  • Assist patients with basic troubleshooting when accessing virtual therapy, coaching, or assessment appointments.
  • Work collaboratively with other administrative team members to ensure continuity of service.
  • Maintain patient confidentiality and adhere to HIPAA regulations at all times.
  • Participate in team meetings, training sessions, and process improvement initiatives.

Requirements

  • Prior experience working in a healthcare or mental health setting preferred.
  • Customer service, reception, call centre, or administrative experience.
  • Excellent communication skills, especially verbal.
  • Strong organizational skills and attention to detail.
  • Proficiency in using electronic medical records (EMR) systems is preferred
  • Ability to work independently and efficiently in a remote environment.
  • Empathy and compassion for individuals seeking mental health support.
  • Ability to maintain professionalism and confidentiality in all interactions.
  • Ability to work independently while collaborating effectively within a remote team environment.
