Spanish Bilingual Executive Assistant

Overview

Our client is seeking a highly organized, proactive, and tech-savvy Spanish Bilingual Executive Assistant to support a founder operating within a fast-paced, AI-driven business environment. As a key operational partner, you will combine executive support, business operations coordination, and light personal assistance to help build scalable systems in an evolving, startup-style environment. This is an exciting opportunity for a systems-oriented professional who is technically curious and comfortable using AI tools in daily workflows.

Schedule:

  • Monday – Friday, 10:00 AM – 2:00 PM Eastern Time (20 hours per week)

Responsibilities

Executive & Business Operations Support

  • Manage the founder’s calendar, triaging inboxes and daily communications across internal and external stakeholders.
  • Maintain and organize operational workflows, building and updating Standard Operating Procedures (SOPs) to support growth.
  • Assist with webinar, event, and product launch coordination, including setup, registrant tracking, and follow-ups.
  • Maintain master task lists and project tracking systems, preparing agendas, summaries, and briefing documents.
  • Coordinate with content creators and marketing support to maintain consistent production schedules; support onboarding and customer service operations.

Personal Assistance & Lifestyle Coordination

  • Coordinate appointments, personal scheduling, wellness, and family logistics.
  • Assist with oversight and communication related to short-term rental operations (Airbnb) and service providers.
  • Coordinate bill payment reminders and handle household-related administrative tasks.

Requirements

  • Strong English communication skills (written and verbal). Bilingual capability with Spanish fluency or conversational ability is highly preferred.
  • Proven track record supporting a founder, executive, or entrepreneur, ideally within online businesses or membership platforms.
  • Comfortable using AI tools (ChatGPT, Claude, etc.) in daily workflows and a strong interest in technology and automation.
  • Ability to utilize or quickly learn: Marketing/CRM: GoHighLevel (GHL), Kit (formerly ConvertKit), Bonjoro, and webinar platforms; and Operations: Google Workspace, WordPress, Gusto, Asana, and Canva.
  • Proactive problem-solver who thrives in fast-moving, evolving environments and handles confidential information with high integrity.

Preferred Qualifications

  • Experience creating operational workflows from scratch.
  • Familiarity with social media coordination or brand support.
  • Background in Airbnb or short-term rental coordination.
