Job Overview:

Our client is seeking a proactive, highly organized, and strategic Supply Chain and B2B Operations Lead (Notion Expert) to take ownership of their supply chain logistics and customer experience. In this role, you will be the backbone of business operations, sitting at the intersection of retail partnerships, direct-to-consumer (D2C) support, and administrative strategy. The ideal candidate is a master of multitasking who can seamlessly pivot from high-level system building in Notion to rapid-fire execution of urgent purchase orders. Our client is looking for someone with prior experience who is excited to leverage AI tools (like Claude and ChatGPT) to optimize workflows, scale efficiency, and maintain a high standard of execution.

Monday - Friday, 1:00 PM - 5:00 PM UAE Time

Responsibilities:

• End-to-End B2B Operations: Lead and manage the full lifecycle of B2B fulfillment. This includes creating warehouse orders, coordinating directly with delivery teams, and generating/tracking invoices for retail partnerships.
• Customer Support Management: Oversee and provide exceptional, high-touch email support for direct consumers. You will handle order modifications, refunds, and inquiries with speed, professionalism, and empathy.
• Systems & Dashboard Architecture: Build, maintain, and optimize sophisticated tracking systems using Notion to monitor B2B orders, invoice statuses, and payment cycles. Create comprehensive customer service dashboards to analyze interactions, complaints, solutions, and outcomes.
• Marketing & Partnership Fulfillment: Support growth initiatives by managing the operational side of influencer partnerships and overseeing promotional product fulfillment.
• Administrative Leadership: Handle diverse, essential administrative tasks that keep the day-to-day business running smoothly and efficiently.
• SLA Enforcement: Maintain a strict commitment to lightning-fast response times, ensuring urgent purchase orders are accurately processed within a 1–2 hour window.

Requirements:

• Prior Experience: Minimum of 2–3 years of experience in operations, logistics, B2B account coordination, or a dual support/operations role. E-commerce experience is highly preferred.
• AI Tool Literacy: Basic to intermediate proficiency with AI software (such as ChatGPT, Claude, or similar LLMs). You should know how to leverage these tools to draft communications, analyze data, and streamline daily operational tasks.
• Advanced Notion Skills: Strong expertise in Notion is required. You must be comfortable building databases, linking pages, and creating clean, functional dashboards.
• Speed & Precision: Exceptional time-management skills with a proven track record of meeting tight, fast-paced deadlines (like 1–2 hour turnarounds) without sacrificing accuracy.
• Communication: Outstanding written communication skills with a knack for maintaining a professional, collaborative tone with both retail partners and customers.
• Problem-Solver: A proactive, solutions-oriented mindset—you naturally look for ways to automate manual tasks and improve broken workflows.
