Job Overview
We are seeking a highly organized Administrative Assistant to serve as the operational right-hand to our founder. In this role, you will manage day-to-day administrative tasks, handle professional client-facing phone calls, and conduct crucial business research. Your primary mission is to streamline daily operations and free up the business owner to focus entirely on Shopify design and development. This is a permanent work-from-home position requiring 20 hours per week (Monday through Thursday, 12:00 PM – 5:00 PM EST).
Schedule
Mon-Thu, 12 pm - 5 pm EST (20 hours per week)
Responsibilities
- Handle outbound and inbound phone calls on behalf of the business, including contacting service providers and potential partners
- Conduct research to support business decisions, such as sourcing CPAs and identifying qualified professionals
- Draft and manage email correspondence with clients, vendors, and external contacts
- Coordinate and organize administrative tasks to keep daily operations running smoothly
- Assist with preliminary screening of candidates or vendors as needed
- Support ad hoc projects and tasks as assigned by the business owner
Requirements
- Strong verbal communication skills with a professional and confident phone presence
- Excellent written communication skills for drafting emails and reports
- Proven experience in an administrative or virtual assistant role
- Ability to work independently, take initiative, and problem-solve without step-by-step direction
- High level of attention to detail and strong organizational skills
- Resourceful and proactive in finding information and completing tasks efficiently
