Job Overview
Our client is seeking a professional HIPAA-Certified Medical Spa Receptionist to support a spa business with client communication, scheduling, and front-desk operations. This role requires someone who is highly organized, customer-focused, and comfortable handling both phone-based reception duties and social media client engagement.
Schedule

Thursday - Saturday, 10:00 AM - 6:00 PM PST, with 1 hour unpaid break (40 work hours per week)
Responsibilities
- Schedule and coordinate appointments and spa bookings
- Answer incoming calls and manage the business calendar
- Manage client communication through CRM systems
- Respond to client inquiries and messages via Instagram and other social platforms
- Engage with clients through social media stories, comments, and direct messages
- Send text messages to clients (including follow-ups and outreach to other spa clients where required)
- Maintain a professional and friendly customer experience across all communication channels
- Ensure accurate scheduling and updates in the booking system
- Collaborate through direct communication with the internal team and assigned client manager
Requirements
- Experience in international customer service or client-facing roles
- Strong English communication skills with a clear and professional phone voice
- Healthcare background
- Ability to work consistently in Pacific Standard Time (PST) hours
- Proficiency with CRM tools and scheduling systems
- Comfortable managing social media engagement (Instagram messaging, comments, and interactions)
- HIPAA certification required (for handling sensitive client information)
