Role Overview:
Seeking a highly organized, proactive Monday.com Expert & Project Administrator. This is a hybrid role blending technical platform mastery with daily operational support.
You won’t just be building workflows; you will be the heartbeat of our daily operations. You will be responsible for setting up, optimizing, and maintaining our Monday.com workspace while actively managing day-to-day administrative tasks, tracking deadlines, chasing open items, and ensuring our creative projects run seamlessly.
Schedule:
- Mondays to Fridays, flexible schedule within the client’s business hours (but requires a consistent daily presence to handle daily admin and stand-ups)
- US Central Time, 20 hours per week
Key Responsibilities:
- Monday.com Architecture & Optimization
- Workspace Design: Build, customize, and maintain Monday.com boards, dashboards, views (Gantt, Kanban, Calendar), and workspaces tailored to creative studio workflows.
- Automation & Integration: Implement advanced automations and integrate Monday.com with external tools (e.g., Slack, Google Workspace, Email, Adobe Creative Cloud) to streamline operations.
- Data Integrity & Maintenance: Audit the platform regularly to clean up outdated data, archive completed projects, and ensure the team is utilizing the tool effectively.
- Active Project Management & Deadline Tracking
- Actively monitor project boards daily to identify bottlenecked tasks and proactively chase team members for open items, status updates, and deliverables.
- Deadline Management: Keep track of production schedules, ensuring all milestones are met and flagging potential delays to leadership before they become issues.
- Meeting Support: Attend production meetings to take notes, log action items directly into Monday.com, and assign tasks to relevant team members in real-time.
- Office Administration & Documentation
- General Admin: Assist leadership with daily administrative tasks, including organizing digital files, managing shared drives, and handling basic studio documentation.
Requirements:
- Advanced proficiency in Monday.com, including:
- Complex formulas
- Automations
- Dashboards
- Workspace and board management
- Proven experience in Project Management or Project Coordination, preferably within a creative agency, studio, or marketing environment
- High emotional intelligence with the ability to confidently and professionally follow up with stakeholders to keep projects on track
- Excellent written and verbal communication skills
- Experience developing and maintaining clear documentation, workflows, and Standard Operating Procedures (SOPs)
- Monday.com Product Certification or equivalent certification is an advantage (preferred)
