Schedule:

  • Monday to Friday, flexible schedule during the client’s business hours (US Eastern Time, 40 hours per week)

Responsibilities:

  • Spearhead rent collection follow-ups, ensuring smooth financial operations and positive tenant relations
  • Become the note-taking virtuoso during crucial calls and meetings, especially when executives are on the move
  • Orchestrate the scheduling and coordination of subcontractors, keeping property maintenance and improvements on track
  • Dive into construction project management, from ordering materials to coordinating with various stakeholders
  • Take charge of email management and calendar scheduling, becoming the gatekeeper of executive productivity
  • Conduct in-depth research and craft compelling reports on property-related matters, contributing to strategic decision-making
  • Maintain a meticulously organized system for important documents and records, ensuring easy access and compliance
  • Act as the vital communication hub between management, tenants, and vendors, fostering positive relationships across the board
  • Adapt swiftly to changing priorities, tackling diverse tasks with enthusiasm and efficiency
  • Contribute creative ideas to improve operational processes and enhance property management strategies

Requirements:

  • Professional proficiency in both Spanish and English is required to perform the responsibilities of this role. 
  • Proven track record in property management or real estate administration, with a keen understanding of the commercial real estate landscape
  • Exceptional written and verbal communication skills in English, capable of crafting professional correspondence and engaging effectively with diverse stakeholders
  • Advanced proficiency in Microsoft Office Suite and familiarity with property management software
  • Master multitasker with a talent for prioritizing effectively in a fast-paced environment
  • Self-starter mentality with the ability to work independently and take initiative on projects
  • Sharp problem-solving skills and meticulous attention to detail
  • Flexibility to adapt to changing priorities and embrace new challenges with enthusiasm
  • Experience in supporting executive-level decision-making through research and data compilation
  • Familiarity with property acquisition, renovation, or tenant improvement projects is a plus
