Job Description
You will serve as the first line of communication and administrative support for a busy primary care practice, handling critical patient-facing responsibilities that keep the clinic running smoothly.
This role gives you ownership over lab result reviews, patient communications, prior authorizations, and portal management, allowing you to make a real impact on patient care while working remotely.
You'll be trusted to flag urgent medical issues, coordinate with providers, and ensure patients receive timely responses across multiple communication channels.
Schedule: Mon-Fri 8:00 AM - 4:00 PM Eastern Time
Responsibilities
- Review incoming lab results, flag abnormal findings, and notify providers of critical values requiring immediate attention.
- Process prior authorizations for medications, procedures, and services by coordinating with insurance companies and providers.
- Call patients to provide appointment reminders, follow-up instructions, and wellness visit scheduling.
- Monitor and respond to patient messages received through the online portal and website text messaging system during clinical hours.
- Manage the electronic faxing system, ensuring all incoming and outgoing faxes are properly routed and documented.
- Perform patient check-in and check-out procedures through the virtual system as needed.
- Communicate clearly with patients via phone, ensuring they understand medical instructions and next steps.
- Maintain accurate documentation in the electronic health record (EHR) system for all patient interactions.
- Serve as backup support for various administrative tasks to ensure continuity of clinic operations.
Must-Have Requirements
- Proven experience working as a medical virtual assistant or in a medical office setting.
- Strong knowledge of medical terminology and ability to understand basic clinical concepts.
- Excellent English communication skills with clear verbal and written expression.
- Experience handling patient-facing communications professionally and empathetically.
- Familiarity with electronic health record (EHR) systems.
- Ability to work independently and prioritize tasks in a fast-paced healthcare environment.
- Reliable internet connection and professional home office setup.
Nice-to-Have Requirements
- Bonus if you have experience with Tebra EHR platform.
