Schedule:

  • Monday - Friday, 7:30 AM to 4:30 PM Corona Del Mar, CA Time Zone

Responsibilities

  • Make outbound calls to facilities to obtain status updates on medical record requests.
  • Send request forms via fax, email, mail, and provider portals.
  • Communicate professionally with hospitals, clinics, and provider offices.
  • Review incoming records for accuracy against patient details, dates, and request types.
  • Identify and organize diverse documentation, including physician, hospital, billing, and radiology records.
  • Upload, download, and file records using various software and portals.
  • Verify authorization forms for required signatures, dates, and patient identifiers.
  • Escalate urgent requests and follow up persistently to ensure timely retrieval.
  • Document detailed notes and status updates in internal systems.
  • Respond to emails and inquiries promptly and professionally.
  • Prioritize high-volume tasks to consistently meet turnaround deadlines.
  • Maintain strict HIPAA compliance and safeguard patient data.
  • Perform additional administrative tasks as assigned.

Requirements

  • 2–5 years of experience in medical records retrieval or healthcare administration.
  • Strong knowledge of medical terminology and standard record types.
  • Working knowledge of HIPAA regulations and patient confidentiality.
  • Excellent verbal and written communication skills.
  • Confident phone presence when speaking with healthcare staff.
  • Proven ability to multitask and manage a high-volume workload.
  • High attention to detail when reviewing and processing documents.
  • Proficiency in Google Workspace and Microsoft Office.
  • Ability to quickly adapt to new software, portals, and EMR/EHR systems.
  • Strong organizational, time-management, and independent problem-solving skills.
  • Reliable internet connection and dedicated remote workspace.

Preferred Qualifications

  • Degree in Healthcare Administration, HIM, or a related field.
  • Background working with law firms, insurers, or record retrieval vendors.
  • Familiarity with EMR platforms like Epic, Cerner, NextGen, or Athenahealth.
  • Prior experience working in a fully remote environment.
  • Deep understanding of release-of-information (ROI) processes.
