Accounting Administrator / Bookkeeper

Position Overview
The Part-Time Accounting Administrator / Bookkeeper is a crucial support role dedicated to managing daily financial operations for a New York-based youth development and education non-profit. Reporting directly to executive leadership, this position takes full ownership of Accounts Receivable (AR), Accounts Payable (AP), bank reconciliations, and end-to-end payroll processing.
The ideal candidate is a proactive, tech-savvy problem solver who operates independently with minimal supervision, demonstrates exceptional communication skills, and remains highly responsive during US East Coast business hours.
Key Responsibilities
Accounts Payable & Receivable: Manage incoming and outgoing invoices (including vendor contracts, partner agreements, and client billings), ensuring accurate tracking and timely processing.
End-to-End Payroll Processing: Independently oversee and execute accurate, compliant payroll processing without requiring internal training or hand-holding.
Bookkeeping & Reconciliations: Maintain financial records, reconcile bank statements, resolve discrepancies, and organize monthly financial reports using QuickBooks.
Financial Communication: Respond promptly to financial inquiries, compile budget documentation, and interface professionally with third parties, banks, and vendors as needed.
Budget & Peak-Season Support: Assist leadership with budget preparations, grant expense tracking, and year-end financial closing.
Non-Negotiable Requirements
QuickBooks Mastery: Hands-on, demonstrated expertise using QuickBooks for bookkeeping, invoicing, financial statements, and reconciliations.
End-to-End Payroll Expertise: Proven experience independently handling payroll processes from start to finish.
Shift & Schedule Flexibility: Ability to work US East Coast (EST) hours with high responsiveness via phone, chat, and email during shift times. Willingness to adjust shift hours during peak tax/budget cycles.
Single Professional Commitment: Dedicated focus during shift hours with no competing full-time jobs or conflicting client commitments.
Communication & Tech Caliber: Excellent verbal and written English skills (clear articulation, minimal accent) with strong proficiency in Microsoft Excel and Google Workspace.
Nice-to-Have Skills & Experience
New York State Tax & Regional Compliance: Prior exposure to or familiarity with New York State business tax laws, payroll compliance, or regional non-profit financial standards.
Non-Profit Sector Experience: Previous bookkeeping experience within education, youth development, or mission-driven organizations.
Advanced Financial Tools: Familiarity with integrated payroll platforms, grant tracking systems, or CRM financial integrations.
