Freight Claims Specialist

The Freight Claims Specialist is responsible for managing freight and parcel damage claims for MIR from initial documentation through reimbursement. This position works closely with the Customer Service, Warehouse, Accounting, and Logistics teams and communicates directly with LTL, ground, express, and other transportation carriers.

The ideal candidate is highly organized, persistent, detail-oriented, and comfortable challenging carriers when claims are delayed, underpaid, or improperly denied.

Schedule:

  • Monday to Friday, 8:00 am to 5:00 pm (US Pacific Time), with a 1-hour unpaid break (40 hours per week, 8 hours per day)

Key Responsibilities:

  • Receive all required claim documentation from the Customer Service team, including photographs, delivery receipts, inspection reports, invoices, proof of value, repair or replacement costs, and customer correspondence.
  • Review each claim package for accuracy and completeness and promptly request any missing information.
  • File all eligible claims within 48 hours after the damage is reported and documentation is received.
  • Follow the individual requirements, procedures, and deadlines of each LTL, ground, express, or specialty carrier.
  • Maintain a centralized claim log showing claim amount, carrier, shipment information, filing date, status, follow-up activity, reimbursement amount, denial reason, and resolution date.
  • Consistently follow up with carriers until each claim is paid or otherwise fully resolved.
  • Professionally dispute unjustified denials, underpayments, excessive delays, or requests for unnecessary documentation.
  • Escalate unresolved claims to carrier supervisors, account representatives, brokers, or MIR management when appropriate.
  • Coordinate approved claim payments and credits with the Accounting team and confirm that reimbursements are received and properly recorded.
  • Identify recurring damage patterns involving specific carriers, terminals, routes, warehouses, packaging methods, products, or shipment types.
  • Alert management promptly to significant red flags, including frequent damage, repeated claim denials, poor reimbursement rates, or excessive processing delays.
  • Recommend corrective action, including packaging improvements, carrier performance reviews, or discontinuing the use of poorly performing carriers.
  • Maintain complete, organized, and audit-ready electronic claim files.
  • Prepare quarterly and annual claims reports for management.

Reporting Requirements:

Quarterly and annual reports should include:

  • Total number and value of claims filed
  • Claims by carrier and shipment type
  • Amounts submitted, approved, denied, and outstanding
  • Reimbursement rate by carrier
  • Average processing and payment time
  • Damage frequency by carrier
  • Common damage causes and patterns
  • Aging of unresolved claims
  • Recurring denial reasons
  • High-risk carriers, terminals, routes, products, or packaging methods
  • Recommendations for corrective action or carrier changes

Qualifications:

  • Previous experience with freight claims, logistics, transportation, insurance claims, accounts receivable, or a related administrative function preferred.
  • Familiarity with LTL freight, ground parcel, and express shipping claims is strongly preferred.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and ability to manage multiple claims and deadlines simultaneously.
  • Proficiency with spreadsheets, reporting tools, email, and electronic document management.
  • Ability to interpret carrier claim requirements and supporting documentation.
  • Persistent and confident when following up, disputing decisions, and escalating unresolved matters.
  • Professional but firm when dealing with carrier customer service departments and claims representatives.
  • Strong analytical skills and the ability to identify trends and operational risks.
  • Capable of working independently while coordinating effectively with multiple departments.

Performance Expectations:

Success in this position will be measured by:

  • Claims filed within the required 48-hour internal deadline
  • Accuracy and completeness of claim submissions
  • Percentage of eligible claim value recovered
  • Timeliness and consistency of carrier follow-up
  • Reduction in aging and unresolved claims
  • Quality and accuracy of quarterly and annual reports
  • Early identification and escalation of carrier-performance problems
  • Maintenance of complete and audit-ready claim records
