Compliance Auditor (Med Spa & Aesthetic)

Overview:

We are seeking an experienced  Compliance Auditor (Med Spa & Aesthetic) to evaluate clinical and operational compliance across a growing national network of aesthetic practices and med spa clients. Med spas operate at the intersection of clinical medicine and retail services—combining elective cash-pay treatments, prescription injectables, Class II energy devices, and membership models. This environment presents unique regulatory vulnerabilities, from scope-of-practice breaches and unverified good-faith exams to unauthorized product sourcing and aggressive marketing claims. Operating under the rubric and scorecard maintained by our Chief Medical Officer, you will conduct evidence-based audits 6–8 weeks post-client launch and annually thereafter. Utilizing AI tools (Claude) and CRM workflows, you will deliver precise, evidence-backed audit reports that give medical directors, practice owners, and legal counsel clear, actionable insights to safeguard patient safety and practice integrity.

Scope of Work & Responsibilities:

  • Initial Post-Launch & Annual Audits: Examine new client locations 6–8 weeks post-launch and on an annual recurring cycle. Collect and audit evidence sets including MSO/entity agreements, medical director oversight logs, provider licensure, written delegation structures, training files, procedure consents, lot tracking, and marketing claims.
  • Virtual Facility Walkthroughs: Conduct live or recorded video walkthroughs to verify physical operating conditions—including cold chain refrigeration, toxin reconstitution, single-vs-multi-dose vial handling, expiration dates, emergency supply readiness (e.g., in-date hyaluronidase), laser safety protocols, and privacy standards.
  • Evidence-Based Rubric Scoring: Apply state-, licensure-, and federal-specific weightings across all client configurations. Ensure every score traces directly to verifiable documentation, screenshots, chart samples, or observed physical evidence without relying on subjective impressions.
  • AI-Assisted Report Generation (Claude): Compile comprehensive audit reports using Claude from rubric outputs and evidence files. Independently verify every regulatory citation, score, and factual assertion prior to final delivery.
  • CRM & Compliance File Management: Establish and maintain audit-ready client compliance files in the CRM. Track master audit schedules, re-audit triggers, and open findings to ensure full operational traceability across the portfolio.
  • Deficiency Escalation & Re-Auditing: Escalate identified deficiencies to medical leadership for Corrective Action Plan (CAP) development. Conduct follow-up re-audits 6–8 weeks post-remediation to verify closure, partial closure, or persistence of findings.
  • Operational Independence: Maintain strict audit boundaries: evaluate and score findings without designing remediation plans, offering legal opinions, making clinical treatment judgments, or informally modifying rubric weightings mid-audit.

Required Qualifications:

  • Aesthetic Operating Experience: Direct operational background inside a med spa or aesthetic practice (e.g., Practice Manager, Lead Injector, Director of Nursing, Clinical Operations Lead, or Compliance/QA Specialist). Hands-on floor experience in an aesthetic environment is required.
  • Aesthetic Regulatory Literacy: Deep working knowledge of core aesthetic compliance frameworks: MSO/CPOM structures, medical director governance, Good-Faith Exam (GFE) requirements (including telehealth limits), provider delegation/supervision (MD, NP, PA, RN, LPN, MA), esthetician scope boundaries, laser safety regulations, and FDA lot/sourcing tracking for neuromodulators and dermal fillers.
  • Complication & Facility Readiness: Familiarity with emergency protocols (hyaluronidase availability, vascular occlusion response, adverse event reporting), cold chain management, infection control, and compounded medication fundamentals (503A vs. 503B basics for weight loss/peptides).
  • Audit Discipline & Rubric Fidelity: Demonstrated ability to evaluate large evidence sets methodically, score objectively to an established rubric without personal bias, and refrain from giving unauthorized legal or clinical advice.
  • Tech & AI Proficiency: Proficiency with CRM record-keeping and working comfort using AI tools (Claude) for report drafting and data synthesis.
  • Written Communication: Clear, restrained, precise English writing skills to produce plain, objective regulatory reports without emotional or editorially charged language.

Preferred Qualifications:

  • Prior QA, compliance, accreditation, or regulatory audit experience in healthcare or aesthetics.
  • Multi-state aesthetic operating experience with an understanding of state-by-state regulatory variations.
  • Recognized compliance or clinical credentials (e.g., RN, NP, PA, CHC, CPCO, Certified Laser Safety Officer).
