Administrative Assistant

Job Description

You will serve as the operational backbone for a dynamic events team, managing all back-office communications and vendor relationships. This role puts you at the center of event coordination, where your organizational skills and follow-through will directly impact the success of monthly community events. You will own the email pipeline, coordinate with charity organizations and brands, and ensure every vendor moves smoothly through the booking process.

Schedule: Part-time (20 hours/week), Monday to Wednesday 9am to 1pm PST. Thursday and Friday 2pm to 6pm PST.

Client Timezone: Pacific Time (PST/PDT) Client Overview Our client is a growing events company based in Southern California that hosts monthly community events featuring vendors, brand activations, food, beverage, and entertainment.

Responsibilities

  • Monitor and manage all incoming email communications for the events business

  • Reach out to charity organizations and coordinate partnership opportunities

  • Contact brands for potential activations and sponsorship opportunities

  • Conduct follow-up calls and emails to maintain engagement with prospects

  • Manage vendor pipeline from initial contact through confirmation

  • Track all communications and ensure timely responses to inquiries Maintain organized records of all vendor, charity, and brand relationships

  • Coordinate scheduling and logistics support for monthly events

Must-Have Requirements

  • Proven experience in administrative or operational support roles

  • Strong email management and written communication skills Experience managing pipelines or multi-step processes

  • Ability to conduct professional phone calls for follow-up and coordination

  • Highly organized with strong attention to detail

  • Comfortable working independently in a remote environment Reliable internet connection and ability to work 20 hours per week

Nice-to-Have Requirements

  • Bonus if you have experience in events, vendor management, or community engagement It helps if you have worked with CRM systems or project management tools
