Executive Assistant (Philanthropy Consulting & Business Launch)

Job Overview
Our client is looking for an Executive Assistant who will serve as the right hand to a dynamic consultant building a practice from the ground up while managing a full personal life. This is not a typical executive assistant role focused on maintaining the status quo. You will help establish systems, clear backlogs, manage both professional and personal logistics, and create the infrastructure that allows the client to focus on revenue-generating activities. You will touch everything from business setup and LinkedIn management to family scheduling and research for new business leads. If you thrive on variety and making a tangible impact, this role offers real ownership.

Client Overview
Our client is a strategic consulting professional based in South Florida who works with nonprofit groups and family offices to maximize philanthropic impact and navigate entry into the Palm Beach market. She is also launching a philanthropy-focused podcast and expanding into additional business ventures including investment property management.

Schedule
Monday - Friday, 9:00 AM - 1:00 PM Eastern Time (20 work hours per week)

Responsibilities

  • Set up business infrastructure including e-signature systems, Zoom account, invoice systems, and other foundational tools for a new consulting practice
  • Manage calendar coordination and scheduling across professional meetings and personal family commitments
  • Research and compile target lists for new business leads in the nonprofit and family office sectors
  • Develop outreach templates and maintain tracking systems for business development activities
  • Update and manage LinkedIn profile and professional social media presence
  • Handle podcast-related tasks including social media management, potential Substack integration, and research for sponsorship opportunities
  • Manage personal administrative tasks including name change documentation, legal records organization, vaccination records, insurance repricing, and business name updates
  • Coordinate travel logistics and research local resources such as camps, coaches, and activity venues in various locations
  • Organize and maintain records for legal documents
  • Potentially manage Airbnb property logistics including guest transitions, booking tracking, and vendor coordination for property maintenance

Requirements

  • Proven experience as an executive assistant supporting both professional business needs and personal family management
  • Strong research skills and ability to compile organized target lists and contact databases
  • Experience with business setup tasks such as implementing digital systems, invoicing platforms, and productivity tools
  • Excellent calendar management skills with ability to coordinate complex schedules across multiple family members
  • Strong written communication skills for drafting professional outreach templates and managing correspondence
  • Comfortable working with family-related logistics including coordinating activities and travel arrangements

Qualifications

  • Experience with podcast production or social media content management
  • Familiarity with Substack or newsletter platforms
  • Experience with Airbnb property management or vacation rental coordination
  • Background in supporting clients through major life transitions or business launches
  • Experience supporting consultants or professionals in the nonprofit or philanthropy sector
