Job Overview:
Our client is seeking a Remote Garage Door Dispatcher & Lead Coordinator to maximize technician routing efficiency, maintain pristine business data, and execute aggressive follow-up strategies to convert inbound inquiries and outbound leads into scheduled jobs across Northern California (Bay Area, Sacramento Valley, Central Valley, and surrounding regions). Operates entirely within the client's integrated Google Workspace and dispatch infrastructure to optimize daily operations and drive revenue.
Schedule: Full-time role in PST time zone; 40 hours per week
Responsibilities:
- Answer incoming customer service calls, web chats, emails, and third-party leads promptly.
- Evaluate service requests and strategically schedule appointments within Service Fusion based on technician skill set, availability, and geographical proximity.
- Monitor live technician locations and progress across Northern California to minimize drive time and optimize daily capacity.
- Proactively communicate adjustments, delays, or emergency scheduling changes to both technicians and clients.
- Process inbound leads originating from diverse channels (telephone, website chat, email inquiries, and marketing forms).
- Transition leads seamlessly into the Streak CRM pipeline, ensuring every conversation is logged and properly categorized.
- Execute persistent follow-up protocols for pending estimates, missed calls, and unbooked inquiries via targeted emails and outbound phone calls.
- Reignite dormant leads or past customers for seasonal garage door maintenance and safety inspections.
- Enter and verify comprehensive customer information, equipment details, and operational notes across platforms.
- Maintain accurate, real-time logs of daily dispatch activities, booking rates, and lead conversion metrics in assigned Google Sheets.
- Ensure data consistency between communication threads in Gmail, pipeline stages in Streak, and finalized jobs in Service Fusion.
Requirements:
- Exceptional verbal and written English communication skills to compose professional, error-free emails and chat responses, maintaining an authoritative yet empathetic tone over the phone.
- Ability to diagnose customer issues accurately (e.g., broken springs, off-track doors, opener malfunctions) during live conversations.
- High typing speed and the ability to multitask fluidly between multiple browser tabs, Service Fusion, and Google Workspace applications.
- Must possess or rapidly acquire a solid understanding of Northern California geography, including major highway corridors (I-80, I-5, US-101, CA-99) and regional clusters, to ensure logical technician scheduling.
- Aggressive, resilient approach to lead follow-up; comfortable making volume outbound dials and handling customer objections to secure bookings.
- Proven capability to work productively from a remote home office without constant direct supervision.
Preferred Qualifications:
- Prior experience with Service Fusion, Streak CRM, or similar field-service and pipeline management software.
Core Software Ecosystem
- Service Fusion: Primary platform for scheduling, technician routing, dispatching, and job completion tracking.
- Streak CRM: Integrated within Gmail for tracking pipelines, managing leads, and updating customer interaction stages.
- Google Workspace: Heavy utilization of Gmail for communication and Google Sheets for performance logs, dispatch metrics, and cross-department tracking.
Work Environment Requirements:
- A dedicated, quiet workspace free from background noise and distractions.
- High-speed, reliable internet connection capable of supporting cloud-based dispatch software and VoIP phone systems simultaneously.
- Computer hardware with dual monitor capabilities (highly recommended for multi-platform dispatching).
