Job Description
We are seeking an organized and technically minded Construction Project Coordinator to support the Project Management team with the preparation and maintenance of detailed project documentation. The role involves transferring information from quotations and architectural drawings into production detail sheets, reviewing plans for relevant specifications, updating information received from clients, and identifying anything that falls outside the original quoted scope or approved technical requirements. This is a highly detail-focused position where accuracy is critical, as the information prepared will ultimately be used by the production and project teams.

20 hours per week, flexible within Monday to Friday, 7:00 AM – 5:00 PM New Zealand Time
Responsibilities
Project Documentation & Detail Sheets
- Transfer project information accurately from quotations into production detail sheets
- Cross-reference quotations, architectural plans, and project documentation
- Populate project and production systems using information provided through client order forms
- Prepare completed detail sheets in the required format for Project Managers to submit to clients
- Maintain accurate and organized project documentation throughout the project lifecycle
Construction Plan & Drawing Review
- Review architectural and construction drawings to extract relevant project information
- Identify and list individual door numbers from project plans
- Determine door handing requirements
- Document hardware requirements for each door
- Identify and document vision panels, grille cutouts, and other relevant specifications
- Ensure information extracted from plans aligns with the original quotation and client requirements
Client Updates & Variation Support
- Update project detail sheets based on information returned by clients
- Compare client changes against the original quoted specifications
- Clearly flag items that may require a project variation
- Identify discrepancies between drawings, quotations, and updated client requirements
- Provide Project Managers with clear information regarding changes requiring further review or approval
Accuracy & Compliance
- Ensure project information complies with approved product systems, dimensions, and technical parameters
- Identify fire door requirements that fall outside certified parameters and escalate them for review
- Verify that documentation aligns with construction plans and customer requirements
- Conduct accuracy checks before documentation is passed to the Project Manager or production team
- Proactively identify missing or conflicting project information
Requirements
- Previous experience in project administration, construction coordination, drafting support, estimating support, or a similar detail-oriented role
- Experience reading and interpreting construction plans and architectural drawings
- Strong attention to detail and commitment to accuracy
- Basic understanding of construction processes
- Comfortable working with technical specifications, measurements, and project documentation
- Good written and verbal English communication skills
- Ability to write clear and professional emails
- Proficiency with Microsoft Office
- Strong organizational and prioritization skills
- Ability to manage multiple projects and deadlines simultaneously
- Problem-solving mindset with the confidence to flag discrepancies rather than make assumptions
Highly Regarded Skills & Experience
- Previous experience within construction, architectural products, doors, hardware, building materials, or related industries
- Experience preparing construction detail sheets or production documentation
- Familiarity with door schedules, hardware schedules, or architectural specifications
- Understanding of fire-rated doors or other certified construction products
- Experience identifying scope changes or project variations
- Previous experience supporting Project Managers in a construction environment
Scope
- Support Lead Project Managers with project preparation and documentation
- Accurately transfer quotation and drawing information into production systems
- Prepare documentation for client review and update information following client feedback
- Identify potential variations, specification discrepancies, and compliance concerns
- Work toward independently reading plans and preparing project details once fully trained
- Participate in regular project planning and review meetings as required

The ideal candidate is a methodical, highly accurate project support professional who is comfortable working with construction drawings and detailed technical information. They naturally cross-check information rather than making assumptions and are confident flagging anything that does not align with the quotation, plans, or approved specifications. They can work independently once trained while understanding that accuracy, compliance, and attention to detail are more important than simply processing tasks quickly
