Position Summary
We are looking for an organized, personable, and dependable Property Management Assistant to become the daily operational backbone of a growing residential real estate portfolio. In this part-time role, you will handle tenant communications, coordinate maintenance, manage lease documentation, and follow up on rent collection.
You will work directly with tenants and coordinate with vendors remotely, ensuring every unit runs smoothly and professionally. This role suits someone who thrives on organization, clear communication, and solving problems before they escalate.
Schedule: Part-time, 20 hours per week, Monday to Friday, 9:00 AM – 1:00 PM Eastern Time
Key Responsibilities
- Tenant Communication: Handle incoming tenant calls and inquiries with professionalism and empathy.
- Maintenance Coordination: Schedule service providers and follow up to ensure timely, proper completion.
- Rent & Lease Follow-Up: Follow up on rent collection, late payments, and lease renewals in a firm but respectful manner.
- Documentation: Manage lease signing processes and ensure all paperwork is completed accurately.
- Bilingual Support: Communicate with tenants from diverse backgrounds, including Spanish-speaking residents.
- Reporting: Provide regular updates to the owner on unit status, tenant issues, and maintenance progress.
Qualifications & Requirements
- Fluent in both English and Spanish, with excellent verbal and written communication in both languages.
- Prior experience in property management, real estate administration, or tenant relations.
- Strong organizational skills with the ability to manage multiple tasks and follow up consistently.
- Professional phone manner and the ability to handle difficult conversations diplomatically.
- Comfortable working remotely with platforms such as Google Voice or RingCentral.
- Reliable internet connection and a quiet workspace with computer and phone.
- Able to work independently with minimal supervision.
Preferred Qualities
- Experience managing residential rental properties in the United States.
- Familiarity with lease agreements and tenant rights.
- Experience with property management software or CRM systems.
- Experience coordinating with contractors and service providers remotely.
