Executive Operations Assistant – Hospitality

Role Overview

Our client is seeking a highly organized, resilient, and proactive Operations & Business Support Executive Assistant to provide critical administrative support to the business owner and CEO of an acclaimed plant-first hospitality brand in London.

This role requires a confident self-starter who excels at managing up, taking direct instructions, and operating with high autonomy in a fast-paced environment. You will serve as a vital right hand to a direct-communicating CEO, taking strong initiative to keep operations running seamlessly, manage schedules, handle supplier logistics, and maintain precise high-end restaurant turnaround standards.

Schedule

  • Monday – Friday, 9:00 AM – 1:00 PM UK Time Zone (20 hours per week)

Key Responsibilities

  • Executive & Operational Support: Manage and optimize the CEO’s calendar, prioritize daily tasks, review weekly appointments, and anticipate operational needs by managing up effectively.
  • Direct Communication & Inbox Management: Monitor high-volume email correspondence, filter key details, and draft clear, professional responses on behalf of the business under tight turnarounds.
  • Hospitality Systems & Reservations: Manage reservation systems via OpenTable, conduct guest background research, and maintain strong awareness of high-end restaurant timing and seating flow.
  • Supplier & Purchasing Workflows: Coordinate supplier logistics, place orders through designated vendor portals, and manage procurement and invoice processing platforms such as Blink / Plate IQ (PLNIQ).
  • Financial Administration & Reporting: Prepare and issue invoices, maintain timesheets, track payment statuses, liaise with external accountants on outstanding balances, generate operational reports, and handle confidential financial data with discretion.
  • Spreadsheets & Data Management: Build, update, and maintain organized digital records, spreadsheets, and documentation using Microsoft Office and Google Workspace.
  • Research & Special Projects: Conduct targeted research regarding market trends, shares, and investment opportunities as directed by the CEO.

Requirements

  • Proven EA/PA Experience: Background as an Executive Assistant, Operations Assistant, Virtual Assistant, or Business Administrator (preferably within hospitality or food & beverage).
  • Proactive & Direct Communication Style: Ability to receive direct feedback, execute instructions swiftly, and communicate proactively across all channels.
  • Fast-Paced Agility: Strong ability to work under pressure, manage competing priorities, and navigate dynamic environment demands with high emotional intelligence and confidence.
  • High Attention to Detail: Precise organization skills with a track record of zero-defect administrative execution and strict confidentiality handling.
  • Core Technical Proficiency: Fluent with Microsoft Office (Excel, Word, PowerPoint) and Google Workspace (Docs, Sheets, Drive, Gmail).
  • Workflow & Data Management: Strong skills in spreadsheet management, tracking timesheets, and running custom reporting workflows.
  • Self-Directed: Comfortable working independently with minimal supervision while maintaining clear alignment with executive priorities.

Nice-to-Have Qualifications

  • High-End Hospitality Experience: Clear understanding of fine-dining operational rhythms, table turnaround times, and premium guest touchpoints.
  • Industry Systems & Platforms: Hands-on experience with restaurant booking systems (e.g., OpenTable) and automated accounts payable/procurement platforms (e.g., Blink / PLNIQ).
  • Financial & Market Basics: Basic understanding of bookkeeping, invoice management, or foundational stock market research.
