Job Overview
Our client is seeking an experienced US Real Estate Transaction & Operations Coordinator to become a trusted long-term operational partner, supporting transaction and listing coordination, CRM management, client follow-ups, scheduling, marketing, and day-to-day operations. The ideal candidate takes ownership, anticipates next steps, proactively follows up, flags potential issues, and keeps priorities moving with minimal supervision.

Responsibilities
Transaction & Real Estate Operations
- Coordinate residential real estate transactions from contract through closing.
- Manage transaction timelines, deadlines, documentation, and outstanding requirements.
- Coordinate with buyers, sellers, agents, lenders, inspectors, vendors, and other third parties as required.
- Coordinate inspections, appointments, showings, open houses, and other transaction-related activities.
- Support listing preparation and ongoing listing administration.
- Manage MLS-related administrative tasks and listing updates.
- Maintain accurate and organized transaction files and documentation.
CRM & Lead Management
- Maintain and organize the CRM and real estate database.
- Manage lead and client follow-ups and ensure no opportunities or tasks fall through the cracks.
- Schedule appointments, confirmations, and follow-up activities.
- Track outstanding leads, tasks, deadlines, and client communications.
- Maintain accurate records and ensure the CRM remains clean and up to date.
Executive & Administrative Support
- Manage inbox and calendar activities.
- Track priorities, deadlines, commitments, and outstanding items.
- Proactively remind the client of upcoming deadlines, decisions, and items requiring attention.
- Follow up internally and externally to keep tasks moving.
- Prepare documents, organize files, and maintain recurring administrative workflows.
- Support project and task management across the business.
- Provide property management administrative support when required.
- Identify process gaps, inefficiencies, or recurring issues and recommend practical improvements.
Marketing Support
- Assist with basic marketing execution and coordination.
- Create or edit simple marketing materials using Canva.
- Schedule and coordinate social media content.
- Assist with email campaigns, newsletters, and marketing communications.
- Organize marketing assets, materials, and recurring campaigns.
Requirements
- Strong hands-on U.S. residential real estate experience, ideally with 5+ years of professional experience and demonstrated maturity and sound judgment.
- Experience in transaction coordination, real estate administration, listing/MLS management, buyer/seller support, real estate CRM/database management, or real estate operations.
- Strong understanding of U.S. residential real estate processes, with excellent written and spoken English and professional communication skills.
- Strong organizational skills and attention to detail, with the ability to manage multiple priorities, deadlines, and workflows.
- Comfortable working independently with minimal supervision and taking ownership of assigned responsibilities.
- Strong computer literacy, with experience using CRM systems and digital administrative tools and the ability to learn new systems quickly.
Ideal Candidate
- A C/S or S/C DISC profile with some D traits is preferred—steady, detail-focused, process-oriented, and confident enough to take initiative.
- Proactive, dependable, and highly organized.
- Takes ownership and anticipates tasks, deadlines, and potential issues.
- Comfortable managing up, following up, and respectfully raising concerns.
- Able to manage multiple priorities with minimal supervision.
- Demonstrates strong judgment, communication, and problem-solving skills.
- Interested in building a long-term working relationship.
Nice-to-Have Skills
- Experience supporting a U.S. real estate agent, broker, investor, or property management business.
- Experience with real estate CRMs, MLS, or transaction management platforms.
- Familiarity with Canva, social media scheduling, or email marketing.
- Experience creating or improving SOPs and processes.
