Personal Injury Litigation Paralegal Assistant
Job Overview
Our client is seeking a detail-oriented Personal Injury Litigation Paralegal Assistant with experience supporting personal injury litigation. The primary responsibility of this role is to audit active matters, build and maintain medical records inventories, identify missing records, and coordinate their retrieval through ChartSquad. The ideal candidate has personal injury litigation experience and can also assist with legal tasks such as drafting discovery responses. Because much of the role involves communicating by phone with clients and medical provider staff.

Responsibilities
Primary Responsibility: Medical Records Inventory & Retrieval:

Audit each active matter and create a comprehensive inventory of medical records already received versus records still needed.

Identify all treating providers associated with each case and determine which records and documentation are outstanding.

Order missing medical records through ChartSquad and other applicable retrieval portals.

Track all medical records requests from submission through receipt.

Follow up with medical providers and retrieval services regarding outstanding requests and delays.

Organize, file, and properly name incoming medical records for attorney review.

Maintain accurate records of requests, received documents, outstanding items, and follow-up actions.

Conduct client follow-ups by phone and email to verify treating providers and gather missing case information or documentation.
Legal & Litigation Support:

Provide administrative and paralegal support for personal injury litigation matters.

Assist with drafting discovery responses and other routine litigation documents under attorney direction.

Collect supporting documentation from clients, including pay records and other documents related to lost income claims.

Assist with maintaining complete and organized case files.

Help ensure cases continue moving forward by identifying and resolving administrative or documentation bottlenecks.
Client & Provider Communication:

Communicate professionally with clients, medical providers, and provider staff by phone and email.

Use provided scripts, guidelines, and firm procedures when communicating with clients.

Follow up consistently with clients and providers to obtain outstanding information and documentation.

Clearly document all communications and follow-up activities.
Requirements
- Experience in a legal administrative, legal assistant, or paralegal support role.
- Experience with medical records retrieval and organizing medical documentation.
- Ability to assist with drafting discovery responses and other litigation-related documents.
- Clear, professional, and easily understood spoken English is a hard requirement.
- Strong phone communication skills and confidence speaking with clients and medical provider staff.
- Excellent attention to detail when handling medical and legal documents.
- Strong organizational and time-management skills with the ability to manage multiple active matters.
- Ability to work independently with minimal supervision in a remote environment.
- Ability to handle confidential client and medical information appropriately.
Qualifications
- Prior personal injury litigation experience is strongly preferred.
