Family Services Executive Assistant (Social Services)

Job Overview

Are you an experienced admin assistant who's comfortable with both internal coordination and client-facing communication? Our client is seeking someone to serve as the right-hand support for an executive leader in a growing family services organization. In this role, you will take ownership of daily operations, bring order to workflows, organize resources, manage communications, and coordinate community events to ensure the organization runs smoothly.

Client Overview

Our client is a family services company operating across two locations in Indiana, supporting a team of approximately 12 professionals. They provide essential services to families and communities while maintaining an active presence through events and digital platforms.

Schedule

Monday - Friday, flexible within Eastern business hours (20 to 25 work hours per week)

Responsibilities

  • Communication & Scheduling: Manage executive email correspondence, answer client phone calls, and schedule appointments
  • Process Improvement: Streamline workflows to reduce overwhelm, improve daily efficiency, and prevent missed details
  • Resource Management: Create and organize training manuals and onboarding documents; maintain organized, accessible digital folders for the team
  • Community & Digital: Coordinate community events (managing logistics and notifications) and update the company website with relevant announcements
  • General Admin: Support the executive with various day-to-day administrative tasks

Requirements

  • Proven experience as an administrative assistant or in a similar support role
  • Experience creating documents, manuals, and training materials
  • Excellent written and verbal communication skills (comfortable with both internal coordination and client-facing communication)
  • Ability to manage multiple tasks and prioritize effectively

Nice-to Have:

  • Experience in the family services or social services sector
  • Familiarity with website content management systems (CMS)
  • Experience coordinating events or community outreach
