Client & Sales Support Specialist

Job Overview

Our client is looking for a proactive, detail-oriented individual to serve as a critical filter between the owner and the incoming flow of client inquiries, vendors, and operational tasks. In this role, you will adapt quickly to the company's voice, handle sensitive client communications with warmth and professionalism, and manage the day-to-day administrative operations that keep this creative business running smoothly. You will be trusted with inbox management, lead qualification, invoicing, and vendor sourcing while maintaining a personalized, natural communication style. Initial hours will begin at 20 hours per week with the opportunity to grow into a full-time role as the business expands.

Client Overview

Our client is a boutique entertainment and event production company based in the New York tri-state area, serving clients across the East Coast and beyond. They specialize in immersive experiences and full-service entertainment production, working with high-profile corporate brands as well as private clients for personalized celebrations. The company operates with a lean, agile structure using subcontractors and vendor relationships to deliver exceptional creative experiences.

Schedule

  • Flexible between client business hours (20 work hours per week)

Responsibilities

  • Manage inbox triage in Gmail, responding to client leads using established templates while adapting tone and language to sound natural and conversational
  • Qualify incoming leads by filtering inquiries, identifying when to involve the owner, and nurturing prospects through the sales process
  • Handle invoicing and payment follow-up, ensuring clients receive timely communication about deposits, scheduling confirmations, and payment reminders
  • Source and communicate with new vendor relationships for specific production needs, including entertainment talent, decor providers, and specialty service providers
  • Source and contact vendors by phone based on specific events per production needs and direction provided by the owner
  • Maintain pipeline management in Trello, tracking tasks, client projects, and vendor relationships
  • Calendar/detail management: Proactively help track event dates, holds, deadlines, payment status, and scheduled calls so nothing falls through the cracks
  • Respond to leads from platforms like Gig Salad and the company website with appropriate urgency and professionalism
  • Adapt communication style based on client type, using warmer language for parent clients and a more professional tone for corporate brand clients
  • Log in and out of multiple platforms securely, including Gmail, Trello, Squarespace, and Gig Salad, following established security protocols
  • As you grow into the role, assume more sales responsibility

Requirements

  • Excellent written English communication skills with natural, conversational tone and strong grasp of nuance
  • Proven experience in customer service or sales support roles with demonstrated ability to qualify leads
  • Comfortable working with multiple email accounts, password management, and various software platforms simultaneously
  • Strong judgment and proactive communication skills, knowing when to handle tasks independently versus when to escalate to the owner
  • Ability to learn and replicate a specific brand voice using templates while making appropriate contextual adjustments
  • Experience with Gmail and willingness to learn Trello and other platforms quickly

Nice to Have

  • Bonus if you have experience in the events, entertainment, or creative services industry
  • It helps if you've worked with event management platforms or lead generation tools like Gig Salad
  • Bonus if you have experience with Squarespace or similar website platforms
  • It helps if you have worked in sales or lead qualification roles where warm, personalized communication was essential
