Overview:
Our client is looking for a highly organized and patient-focused Aesthetic Patient Coordinator & Social Media Specialist (Boulevard) to support the day-to-day operations of a boutique aesthetics practice. This role combines patient coordination, scheduling, administrative support, medical record management, and social media marketing. The ideal candidate has experience in a medspa, cosmetic surgery, dermatology, or similar healthcare environment and can provide a high level of customer service while confidently managing multiple administrative and digital marketing tasks.
Schedule: Monday to Friday, 4:00 PM to 9:00 PM PST (During first week of training) | 9:00 AM to 1:00 PM PST (Fixed schedule)
Responsibilities:
Patient Care & Administrative Support
- Manage patient communications via text and phone, including appointment scheduling, rescheduling, pricing inquiries, service education, waitlist requests, and general appointment questions
- Manage scheduling, patient records, and administrative workflows using Boulevard
- Coordinate and maintain provider and staff schedules
- Collect deposits and payments and process refunds when needed
- Maintain accurate patient medical records, including updating charts, medical histories, documentation, and consents
- Upload and organize patient before-and-after photos and relevant notes within patient charts
- Follow up with patients to schedule future appointments and support a positive post-appointment experience
- Assist providers with sending before-and-after photos to patients
- Proactively monitor the calendar and fill scheduling gaps caused by cancellations or openings
- Manage pharmaceutical rewards programs such as Alle and Aspire, including redeeming patient points for eligible treatments
- Educate patients about available financing and rewards program options
Social Media & Digital Marketing
- Create and assist with Instagram posts, Stories, Reels, promotions, educational content, and other social media materials
- Edit, crop, align, and format before-and-after photos for professional and consistent presentation and create reusable Canva templates
Must-have requirements
- Prior experience in a healthcare, medical, or aesthetics customer service environment
- Excellent verbal and written communication skills in English
- Familiarity with Canva for basic graphic creation
- Ability to develop strong product knowledge in the aesthetics and wellness industry
- Professional and empathetic phone manner with a patient-first approach
Nice-to-have requirements
- Bonus if you have experience with aesthetics-specific scheduling platforms or patient management tools
- It helps if you have existing knowledge of cosmetic treatments, injectables, or medical wellness services
- Bonus if you have prior experience managing professional social media engagement or community interactions
