Australian Law Firm Legal Secretary - Clio & Migration Law

Job Overview:

Are you an experienced Legal Secretary with a strong background in Australian migration law and practice management tools?

Our client, a boutique Australian law firm, is seeking a high-caliber Australian Law Firm Legal Secretary to streamline client administration, document management, and practice organization. To excel in this role, you will bring proven experience supporting Australian lawyers alongside deep familiarity with local legal document standards and compliance processes. Proficiency with Clio (or a similar legal management system) and migration law experience are essential to hitting the ground running. Additionally, skills in Xero or basic legal bookkeeping will make you an indispensable asset to this dynamic firm.

Schedule:

Part-time, Monday to Friday - within business hours - Melbourne Aus.

Responsibilities:

Legal Administration & Secretarial Support

  • Capture and maintain accurate client information in Clio or the firm's practice management system
  • Prepare, format, and file legal documents and correspondence
  • Organise and manage case files — both digital and physical — ensuring records are complete and up to date
  • Schedule appointments, manage calendars, and coordinate client communications
  • Draft routine correspondence and follow up on outstanding matters on behalf of the principal
  • Handle general inbox management and administrative tasks as required

Bookkeeping Support

  • Assist with day-to-day bookkeeping tasks in Xero including data entry, bank reconciliations, and invoice processing
  • Maintain accurate financial records and support month-end processes
  • Track accounts receivable and follow up on outstanding invoices

Requirements:

Essential:

  • Proven experience as a Legal Secretary or Legal Administrator, ideally within an Australian law firm
  • Migration law experience strongly preferred
  • Proficiency with Clio or a similar legal practice management system
  • Highly organised and structured — you build systems, maintain them, and keep things from falling through the cracks
  • Proven ability to work independently and self-manage your workload without close supervision
  • Windows PC required as software will be installed onto your device.

Qualifications:

  • Bookkeeping experience, with Xero skills preferred
  • Familiarity with Australian legal document requirements and compliance processes
  • Strong written communication skills and a professional, discreet manner

Independent Contractor Perks:

  • Permanent work from home
  • Immediate hiring

Please click the "Apply" button to complete your application, including the assessment questions, technical check, and voice recording. Your hourly pay rate will be established based on your performance in the application process; submissions with all requirements fulfilled will receive priority review.
