Construction Estimator & Contracts Administrator (Australia)

Job Overview

Our client is seeking an analytical, detail-driven Construction Estimator & Contracts Administrator with proven Australian construction experience to take end-to-end ownership of project cost planning, quantity take-offs, and commercial administration.

In this dual-focus role, you will bridge the gap between pre-construction budgeting and live commercial contract administration. You will produce accurate quantity take-offs, prepare bills of quantities (BOQs), assemble tender packages, evaluate subcontractor quotes, manage subcontracts, process monthly progress claims, and administer contractual notices (RFIs, Variations, EOTs, NODs) using construction platforms like Procore. Working closely with Project Managers and Construction Managers, your work will directly safeguard project margins, enforce commercial compliance, and streamline project delivery.

Schedule

Monday - Friday, 8:00 AM - 5:00 PM AEST/AEDT, with 1 hour unpaid break (40 work hours per week)

Responsibilities

  • Prepare accurate, detailed construction cost estimates, feasibility studies, and cost plans across residential, commercial, retail, and mixed-use developments
  • Perform thorough quantity take-offs across architectural, structural, civil, and MEP services drawings
  • Review architectural plans, engineering specifications, addenda, and scopes of work to identify material, labor, and subcontractor requirements
  • Prepare Bills of Quantities (BOQs), trade cost breakdowns, and itemized pricing schedules
  • Identify project risks, design omissions, scope discrepancies, and value-engineering opportunities for cost optimization
  • Maintain and update internal estimating databases, historical pricing rates, and unit cost libraries
  • Draft comprehensive subcontractor scopes of work, tender documentation packages, and pricing schedules
  • Solicit, review, and evaluate subcontractor and supplier quotes against project specifications and scopes
  • Prepare tender comparison spreadsheets, bid leveling analyses, and trade award recommendations for management review
  • Review tender submissions to flag exclusions, inclusions, ambiguities, and potential contract variations
  • Support material procurement schedules, purchase ordering, and supplier rate negotiations
  • Prepare, formalize, and issue standard Australian subcontract agreements and purchase orders
  • Administer, assess, and reconcile monthly subcontractor progress claims, ensuring billing aligns with verified on-site completion
  • Manage contract notices and formal documentation: Requests for Information (RFIs), Variations (VOs), Extensions of Time (EOTs), Notices of Delay (NODs), and practical completion sign-offs
  • Process subcontractor and supplier invoices, investigating rate discrepancies, unauthorized extras, and billing inconsistencies
  • Manage construction records, drawing revisions, RFI logs, submittals, and safety documentation inside Procore
  • Maintain live cost reporting, tracking project budgets, committed costs, forecast-at-completion figures, and cash flow projections
  • Coordinate regularly with site managers and project engineers to monitor physical construction milestones and address commercial bottlenecks

Requirements

  • Minimum 3–5+ years of combined experience in construction estimating, quantity surveying, and/or contracts administration, specifically supporting Australian construction and commercial property developments
  • Strong working knowledge of Australian building practices, standard contract forms, construction methodologies, trade packages, and local terminology
  • Demonstrated expertise reading, interpreting, and cross-referencing complex architectural, structural, civil, and MEP drawing sets
  • Proven track record preparing subcontracts, managing claims and variations (VOs), drafting EOTs/NODs, and auditing subcontractor billings
  • Advanced proficiency in Microsoft Excel (PivotTables, Lookups, Cost Modeling) and specialized take-off/estimating tools (Bluebeam Revu, CostX, Cubit, or similar)
  • Hands-on familiarity with Procore, Microsoft Office 365, Microsoft Teams, SharePoint, and OneDrive
  • Exceptional verbal and written English communication skills with the confidence to negotiate with subcontractors, coordinate with site staff, and present cost data to management

Independent Contractor Perks

  • Permanent work from home
  • Immediate hiring
  • Health Insurance Coverage for eligible locations
