Role Overview

Diaquip is seeking an experienced HubSpot CRM & Marketing Automation Specialist to take ownership of the configuration, optimisation, and ongoing management of its HubSpot platform.

This is a hands-on role combining CRM administration, data management, sales pipeline optimisation, marketing automation, reporting, system integrations, and user training.

The successful candidate will work closely with the sales and marketing teams, as well as a dedicated Lead Generation and Data Researcher, to build reliable processes, improve data quality, and ensure HubSpot supports the company's commercial objectives.

The role requires someone who can translate business requirements into practical CRM solutions, take ownership of implementation, and continuously identify opportunities to improve efficiency and adoption.

Key Responsibilities

  • Establish consistent data structures, naming conventions, and import procedures.
  • Maintain the Apollo–HubSpot integration and ensure prospect data is transferred accurately.
  • Configure fields to track industry, region, product interest, target market, and equipment held.
  • Monitor incomplete records, bounced emails, outdated contacts, and other data quality issues.
  • Work with the Lead Generation and Data Researcher to maintain accurate and consistent CRM records.

3. Sales Pipeline & Automation

  • Configure and maintain sales pipelines aligned with the company's sales process.
  • Implement automated follow-up tasks, reminders, sequences, email templates, snippets, and task queues where supported by the HubSpot subscription.
  • Ensure calls, emails, meetings, and deal updates are consistently recorded.
  • Improve lead ownership, follow-up visibility, and pipeline management.
  • Support account-based prospecting and target account management using HubSpot and Apollo.
  • Configure additional sales tools, including product libraries, quotations, and pipeline automation, as subscription upgrades permit.

4. Marketing Automation & Campaign Support

  • Build segmented contact lists based on industry, geography, product, and campaign requirements.

  • Support targeted campaigns across different industries and international markets.
  • Monitor campaign performance, including opens, clicks, downloads, and engagement.
  • Identify engaged prospects and support lead prioritisation for sales follow-up.
  • Develop lead scoring and attribution processes as the company's HubSpot capabilities expand.

5. Reporting & Analytics

  • Build and maintain dashboards covering lead sources, lead generation, pipeline stages, regional performance, products, and win rates.
  • Develop reports to measure campaign effectiveness and sales activity.
  • Improve visibility into prospect engagement, pipeline progression, and estimated customer spend.
  • Provide actionable insights to help management make informed sales and marketing decisions.

6. Systems Integration

  • Maintain and optimise the Apollo–HubSpot integration.
  • Assess options for integrating HubSpot with Cin7, the company's inventory and order management system.
  • Recommend appropriate integration methods, data ownership rules, and synchronisation processes.
  • Identify opportunities to reduce manual data entry and improve information flow between systems.

7. Training & User Adoption

  • Deliver practical HubSpot training for sales and marketing users.
  • Conduct training sessions through Microsoft Teams and provide recordings for future reference.
  • Create simple user guides and process documentation.
  • Train the Lead Generation and Data Researcher on CRM structures, data standards, and importing procedures.

  • Ensure inbound enquiries are correctly captured and assigned.
  • Participate in weekly progress meetings and provide concise written updates.
  • Maintain a prioritised improvement roadmap covering the first 3, 6, and 9 months.
