Construction Administrator – Residential Projects

About the Role

We are seeking a highly organized, detail-oriented, and proactive  Construction Administrator – Residential Projects  to support domestic and residential construction projects.

You will assist with project coordination, documentation, scheduling, stakeholder communication, supplier/contractor administration, and day-to-day support for project managers and construction teams.

Residential construction experience is essential. This role requires someone familiar with construction terminology, documentation, schedules, suppliers, trades, contractors, and project workflows—not just general administration.

Schedule

  • Monday–Friday | 9:00 AM–6:00 PM Melbourne Time (AEDT)

Key Responsibilities

  • Provide administrative and coordination support throughout residential construction projects.
  • Maintain accurate project files, records, registers, spreadsheets, and databases.
  • Organize contracts, plans, reports, approvals, correspondence, and other project documentation.
  • Update project schedules, timelines, milestones, and task trackers.
  • Follow up on outstanding information, documentation, tasks, and deadlines.
  • Coordinate communication between clients, builders, trades, contractors, suppliers, and internal teams.
  • Assist with quotes, purchase orders, work orders, invoices, variations, and other project paperwork.
  • Maintain supplier, subcontractor, and contractor records.
  • Track orders, deliveries, invoices, and project-related expenses.
  • Update construction/job management systems and maintain proper document control.
  • Assist with meetings, calls, project updates, and site-related requirements.
  • Identify potential administrative issues or delays and escalate them appropriately.

Requirements

Essential

  • Previous experience as a Construction Administrator, Construction Coordinator, Project Administrator, Contracts Administrator, or similar.
  • With at least 3 years of experience working with a residential builder in Australia.
  • Demonstrated experience in the domestic/residential construction industry.
  • Good understanding of residential construction processes, terminology, and documentation.
  • Strong administrative, organizational, and project coordination skills.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks, priorities, and deadlines.
  • Strong follow-up skills and ownership of outstanding tasks.
  • Ability to work independently and proactively in a remote environment.
  • Strong computer literacy and confidence with spreadsheets and digital systems.

Preferred

  • Experience supporting Australian residential construction businesses.
  • Familiarity with Australian residential building processes and terminology.
  • Experience working with builders, trades, subcontractors, suppliers, and homeowners.
  • Experience with construction project/job management software.
  • Experience handling contracts, purchase orders, variations, invoices, and work orders.
  • Familiarity with construction scheduling and project tracking.
  • Previous experience working remotely with Australian construction teams.

Technical Skills

Comfortable using:

  • Microsoft Excel / Google Sheets
  • Microsoft Word / Google Docs
  • Google Workspace
  • Email and calendar platforms
  • Construction project/job management software
  • Document management and digital filing systems

Experience with specific construction platforms is an advantage, but the ability to quickly learn new systems is equally important.

Ideal Candidate

We’re looking for someone who is organized, proactive, reliable, detail-focused, and confident working in residential construction.

You should be able to manage project documentation, track deadlines, follow up on outstanding requirements, coordinate with multiple stakeholders, and keep project information accurate and organized with minimal supervision.

You do not need to be a builder or tradesperson, but you must have sufficient residential construction experience to understand the terminology, documentation, and processes involved.
