Tax & Bookkeeping Specialist

Job Description:

You will take ownership of bookkeeping and tax preparation for a unique portfolio of small business clients, working directly with an experienced CPA team that values work-life balance and employee treatment. This role offers immediate impact with clear growth potential as the firm scales from one part-time position to multiple team members based on business growth and marketing success.

Client Overview:

Our client is a specialized accounting and tax firm entering its fifth year of operation, serving an exclusive niche market of tattoo artists, body piercers, and pet groomers across the United States. The firm is expanding with new marketing initiatives and seeking offshore support to scale operations ahead of the upcoming tax season.

Schedule:

  • Monday to Friday, flexible schedule during the client’s business hours (specific timing flexible), US Eastern Time (20 hours per week, 4 hours per day)

Responsibilities:

  • Process monthly bookkeeping using client bank statements, credit card statements, and payment processor records uploaded to the secure client portal
  • Utilize DocuClipper to convert PDF documents into Excel format for data entry
  • Maintain general ledger and trial balance entries in client-specific Excel master files
  • Categorize cash basis transactions with occasional depreciation and amortization entries for equipment and startup costs
  • Prepare individual tax returns (primarily Form 1040 with Schedule C) using Drake tax software
  • Complete tax workbooks in Excel before data entry into Drake
  • Reconcile bookkeeping records with Form 1099-K and other tax documents at year-end
  • Handle occasional partnership and S-corporation returns with Schedule E preparation
  • Work within Assembly (formerly Copilot) portal for client document management
  • Utilize Sync for internal document warehousing and version control

Must-Have Requirements:

  • 5+ years of bookkeeping and tax preparation experience
  • Strong proficiency in Microsoft Excel for general ledger and trial balance work
  • Experience preparing individual tax returns (Form 1040, Schedule C)
  • Cash basis accounting expertise
  • Comfortable learning new tax software (Drake) and portal systems
  • Excellent organizational skills for managing multiple client files
  • Reliable internet connection and home office setup

Nice-to-Have Requirements:

  • Experience with Drake tax software is a strong plus.
  • Familiarity with Assembly or Copilot client portals is highly beneficial.
  • Payroll processing experience is preferred.
  • Prior exposure to sales tax filings is advantageous.
  • Experience preparing partnership and S-corporation tax returns is a significant bonus.
  • Working knowledge of DocuClipper or similar document conversion tools is helpful.
