Property Manager (HOA & Condominium Communities)

Job Overview

Our client, is seeking an experienced Property Manager who will serve as a key point of contact for board members, homeowners, residents, and vendors, helping communities operate efficiently, stay compliant with governing documents, and maintain a high standard of service.

Schedule: Remote, Part Time | Monday–Friday - 9am to 1pm Philadelphia, PA Time. 

Note: Some weekend availability required for community meetings, urgent maintenance matters, or other time-sensitive community needs.

Responsibilities:

HOA & Board Support

    • Serve as a primary point of contact for HOA and condominium board members.
    • Prepare for board meetings, including agendas, meeting materials, minutes, and action items.
    • Track board decisions and follow up on outstanding tasks and resolutions.
    • Maintain organized records of board communications, decisions, contracts, and community documents.
    • Help boards stay informed and organized regarding community priorities and outstanding matters.

Homeowner & Resident Relations

    • Respond promptly and professionally to homeowner and resident questions, concerns, and requests.
    • Communicate community rules, regulations, policies, and procedures clearly.
    • Handle architectural requests, violation notices, compliance matters, and homeowner follow-ups.
    • Track violations and compliance issues from initial notice through resolution.
    • De-escalate resident concerns and escalate sensitive or complex matters when appropriate.

Financial Administration

    • Assist with monitoring community budgets, assessments, invoices, and financial reports.
    • Track delinquent accounts and outstanding balances.
    • Review financial information and help board members understand key figures, variances, and outstanding decisions.
    • Coordinate with accounting and finance teams regarding billing, payments, and financial inquiries.
    • Maintain accurate financial and administrative records.

Maintenance & Vendor Coordination

    • Coordinate homeowner maintenance requests, work orders, inspections, and repairs.
    • Obtain and coordinate vendor bids and proposals for board review.
    • Schedule and follow up on routine and preventive maintenance.
    • Coordinate with vendors to ensure work is completed properly and on schedule.
    • Assist with emergency maintenance situations and communicate updates to affected residents and board members.
    • Maintain records of vendor contracts, insurance documentation, work orders, and completed projects.

Administrative & Community Management

    • Maintain accurate community records, calendars, contracts, notices, and correspondence.
    • Track deadlines, inspections, renewals, projects, and other community obligations.
    • Manage multiple communities and competing priorities while maintaining strong attention to detail.
    • Ensure timely follow-up on homeowner, board, and vendor requests.
    • Support other property management and community-related responsibilities as needed.

Requirements:

  • Prior experience managing or supporting HOA or condominium communities is required.
  • Hands-on experience with: HOA/community rules and compliance, Violation tracking and enforcement, HOA financial administration and reporting, Maintenance and vendor coordination, and Board meeting support and administration.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Excellent follow-through and ability to manage multiple priorities.
  • Ability to work independently in a remote/virtual environment.
  • Comfortable handling sensitive homeowner, financial, and community information with discretion.
  • Proficiency with property management software, spreadsheets, video conferencing tools, and shared document systems.

Qualifications:

  • Experience managing multiple HOA or condominium communities simultaneously.
  • Experience with residential property management or real estate.
  • Familiarity with property management platforms and HOA management software.
  • Experience working with homeowners, board members, contractors, and vendors.
  • Strong understanding of community association operations and governance.
