Role: Order Fulfillment Coordinator
- Review daily reports to identify orders that are on hold, awaiting action, overdue, or unshipped
- Investigate why an order has not progressed and determine the next steps needed to release it
- Follow up on missing information, payment issues, proof approvals, stock availability, and other requirements affecting fulfillment
- Understand the order lifecycle and recognize when an order requires further action or supervisor involvement
- Research available alternatives when the original fulfillment option is unavailable or delayed, using internal resources and contacting suppliers when necessary
- Present findings and a recommended solution to the supervisor when approval or a management decision is required
- Coordinate with the appropriate team members and suppliers to carry out approved solutions
- Keep order records accurate, including shipment tracking, hold reasons, out-of-stock information, notes, and follow-up tasks
- Set and monitor follow-up dates so unresolved orders continue to receive attention
- Take ownership of each assigned issue through resolution, ensuring that actions are completed and records reflect the current status
- Experience in ecommerce operations, order processing, customer service, or administrative coordination
- Strong attention to detail and the ability to review reports and compare information across systems
- Good research, problem-solving, and organizational skills
- Clear written communication and the ability to summarize an issue, actions taken, and recommended next steps
- Ability to prioritize urgent orders and manage multiple outstanding follow-ups
- Sound judgment about when to act independently and when to involve a supervisor
- Comfortable learning order management systems, helpdesk software, and printing products
