Spanish Bilingual Tax Administrative Assistant

Schedule:

  • Monday to Friday, 10 am to 7 pm, Miami, FL time, with an hour unpaid break
  • Note: During peak season (February to May), staff may be required to work an additional day on Saturday with the same daily schedule. After peak season, the work schedule may be reduced to three days per week.​

About the Role:
We are seeking a highly organized and motivated Tax Administrative Assistant to join our growing team. This role is essential in supporting our tax preparers, ensuring smooth daily operations, and delivering an exceptional client experience throughout the tax season and beyond.

Key Responsibilities:

  • Assist tax preparers with daily administrative tasks and workflow management
  • Manage schedules, book appointments, and ensure all meetings are properly coordinated
  • Review schedules to confirm tax preparers met their appointments and follow up when needed
  • Monitor and manage the tax pipeline to ensure all client files are in the correct stages
  • Maintain constant communication with tax preparers throughout the day to ensure accurate notes and updates on all client files
  • Collect, verify, and upload tax documents from clients
  • Handle inbound and outbound customer service calls, chats, and messages through our CRM
  • Collect deposits and payments; maintain accurate records
  • Perform client intake and data entry with precision
  • Support the team with additional tasks during high-volume periods
  • Maintain confidentiality and follow all compliance requirements

Qualifications:

  • Minimum 1–2 years of administrative experience (tax or financial services experience preferred, but not required)
  • Strong organizational skills with the ability to multitask in a fast-paced environment
  • Excellent communication skills (verbal and written)
  • Bilingual in English & Spanish is a strong plus
  • Tech-savvy; comfortable using CRMs, scheduling tools, and cloud-based systems
  • Detail-oriented with strong follow-through skills
  • Customer-service driven with a positive and professional attitude
