Client Services Officer – Financial Planning

About the Role:

We are seeking a highly organized and detail-oriented Client Services Officer – Financial Planning to provide direct support to a senior financial planning professional.

The ideal candidate will have previous experience in financial services, financial planning, financial advisory, or paraplanning, along with excellent written and verbal English communication skills.

This role will involve a combination of administrative support, client communication, documentation management, financial data gathering, CRM administration and paraplanning activities. 

Schedule:

  • Monday to Friday, flexible schedule within the client’s business hours and operational requirements (between 8:00 am and 6:00 pm, Australian Eastern Time, 40 hours per week)
  • Initial Training: Training will be incorporated into the first week while the successful candidate also begins handling assigned tasks. 

Key Responsibilities:

  • Provide day-to-day administrative and operational support to a senior financial planning professional.
  • Collect, review, and organise client documentation and information.
  • Identify missing or incomplete information on client forms and follow up with clients to obtain the required details.
  • Communicate directly with clients via phone and email in a professional, clear, and compassionate manner.
  • Make client bookings and assist with scheduling appointments.
  • Access relevant banking and investment platforms to retrieve client statements and other required information.
  • Collate and organise financial data for client files and planning purposes.
  • Assist with preparing and maintaining client records and Records of Advice.
  • Assist with preparing financial plans using established templates and processes.
  • Review financial planning documents carefully to ensure client names, ages, objectives, information and other details are accurate and complete.
  • Maintain accurate information within the CRM and other internal systems.
  • Support general administrative tasks related to financial planning and client servicing.

Required Skills & Experiences:

  • Previous experience in financial planning, financial advisory, & paraplanning.
  • Strong written and verbal English communication skills.
  • Ability to communicate clearly and professionally with clients.
  • Strong attention to detail and accuracy when working with client information and documentation.
  • Experience working with Adviser Logic
  • Experience working with Superannuation, Investment and Insurance platforms.
  • Ability to retrieve statements, collate financial information, and work with client investment data.
  • Strong organisational and time-management skills.
  • Ability to follow established processes while working independently.
  • Comfortable handling confidential and sensitive client information.
  • Professional, patient, and client-focused communication style.

Preferred Experience:

Preference will be given to candidates with experience using:

  • Advisor Logic
  • Superannuation & Insurance Platforms
  • CRM systems used within financial planning practices
  • Financial planning software and documentation
  • Paraplanning processes and financial plan preparation

Client Communication:

The role may involve approximately 2–3 client calls per day, depending on business requirements. Candidates should be comfortable speaking directly with clients and explaining documentation requirements clearly and professionally.

The successful candidate should be easy to understand, professional, caring, and compassionate, with the ability to communicate confidently.

Important Note:

The role involves supporting financial planning activities and handling client and investment information. Candidates must have relevant financial services experience and understand the importance of accuracy, confidentiality, and compliance when working with financial information.
