Our client is a well-established GP practice in the UK offering comprehensive healthcare services to patients. The practice operates with a full team of clinicians, nurses, reception staff, and administrative personnel, serving patients primarily through face-to-face consultations at their location.

Job Description

You will take ownership of the day-to-day financial operations for a busy medical practice, ensuring every invoice, payment, and transaction is accurately recorded and reconciled in Xero. This role puts you at the heart of the practice's financial health, where your attention to detail will directly prevent revenue leakage and ensure suppliers, locums, and staff are paid correctly and on time. You will work closely with clinical and administrative teams to verify invoices against actual deliveries and timesheets, flagging discrepancies before they become costly errors.

Schedule: Mon-Fri 1:00 PM - 4:00 PM UK Time

Client Timezone: UK Time (GMT/BST)

Responsibilities

  • Reconcile daily transactions, invoices, and payments in Xero with bank statements and ensure all entries are accurate

  • Review supplier invoices against delivery records with nursing staff to identify discrepancies or missing items before processing payment

  • Verify locum invoices against timesheets with the rota manager to ensure hours claimed match hours worked

  • Manage accounts payable and receivable, ensuring invoices are paid strategically by month-end to optimize cash flow

  • Process private work claims and reconcile online payments, bank transfers, and occasional cash receipts

  • Monitor outstanding invoices and follow up on payment discrepancies or delays

  • Allocate incoming and outgoing payments correctly across accounts

  • Maintain organized records of pending invoices and communicate status updates to relevant team members

  • Support month-end close activities and ensure all financial records are current and audit-ready

  • Potentially assist with payroll administration using Iris software after handover and training

Must-Have Requirements

  • Proven experience in bookkeeping or accounting, ideally in a healthcare or service-based environment

  • Strong proficiency in Xero for daily reconciliation, invoice management, and financial reporting

  • Excellent attention to detail with the ability to spot invoice discrepancies and prevent costly errors

  • Ability to work independently and manage multiple invoices and payment deadlines simultaneously

  • Strong communication skills to liaise with clinical staff, suppliers, and locum agencies regarding financial matters

  • Comfortable working UK business hours, specifically between 1:00 PM and 4:00 PM UK time

Nice-to-Have Requirements

  • Bonus if you have experience working with GP practices or healthcare providers and understand NHS payment cycles

  • It helps if you have worked with Iris payroll software or are comfortable learning new payroll systems

  • Bonus if you have experience managing accounts for businesses with high invoice volumes and multiple supplier relationships

  • It helps if you have previously worked remotely for UK-based clients and understand UK accounting practices
